Qualifications & Experience

Conflict of Interest & Professional Conduct Policy for Judges

As part of our commitment to maintaining the integrity and fairness of our pageant, we ask all judges to disclose any past or present involvement in the pageant industry. This includes, but is not limited to:

  • Coaching (paid or unpaid)

  • Providing hair and makeup services

  • Photography or videography services

  • Any other pageant-adjacent business, role, or sponsorship

We deeply respect the expertise and insight you may bring through these experiences. However, individuals with such backgrounds often face a higher potential for conflicts of interest. To ensure a level playing field for all contestants, we require that:

  • You must not be actively working, in any capacity (paid or unpaid), with any contestant in the competition you are judging.

  • If you have worked with a contestant in the past that you are judging, this must be fully disclosed in advance or as soon as realized.

Professional Boundaries with Contestants & Families

Our pageant is not a venue for personal promotion or solicitation. While we encourage networking among judges and staff, we have a strict policy regarding interactions with contestants and their families. Specifically:

  • No on-site or post-event solicitation of services or business is allowed involving our contestants, royalty, or their families.

  • Judges should maintain professional boundaries and refrain from initiating or suggesting any future business relationships with participants.

Your adherence to these standards is vital in preserving the trust of our contestants, their families, and the broader pageant community. We appreciate your understanding and cooperation

Do you understand and agree to the above?

Background & Integrity Statement

Similar to background checks required for volunteers in youth sports and educational settings, these measures are standard practice in any role involving influence, mentorship, or oversight of young people.

Travel & Accommodations

We are grateful for your interest in serving as a judge for our National American Miss (NAM) State Pageant. Please read the following acknowledgment and travel policy carefully:

Volunteer Role with Covered Expenses

Judging for NAM is considered a volunteer position without pay. However, we are pleased to offer coverage for approved travel, accommodations, and meals per these specifications during your time of service.

Hotel Accommodations

Judges will stay on-site at our official host hotel and their overnight room cost will be paid by the pageant. This may not be applicable if judge is only jserving one day or lives near venue.

  • Rooms are provided as double occupancy, meaning two judges or a judge and a staff member will be paired to share a room.

  • At check-in, you understand and agree that the hotel may ask you to provide your own credit card for incidentals.

Travel & Reimbursement Policy

  • Mileage reimbursement is capped at 580 miles roundtrip (290 miles each way) at .60 per mile. If your roundtrip exceeds this limit, you likely will not be considered due to budgetary constraints, or you can still choose to travel for judging but must understand you would only be reimbursed for mileage up to that limit and the additional cost is at your own expense. NAM will reimburse for parking costs at the host hotel.

  • If agreed upon airfare is provided, it will be pre-approved by the travel coordinator. This is capped at no more than a cost of $350 roundtrip. Parking at your home base airport or if you choose to take a shuttle or ride-share expenses to the airport from your home and back again, as well as checked bags, will be at your own expense. NAM only covers the airfare and will provide travel from the airport to the host hotel and back to the airport for you.

Meals and Other Expenses

  • NAM provides a stipend check for $40 for each full day on site and $20 for each half day on site. The stipend is intended to compensate you for meals during your time of service. This stipend is provided during your time judging and not for travel time. NAM does not accept receipts for reimbursement as the stipend check is considered full compensation and any overage is at your own expense.

  • Any additional meals, hotel incidentals, or personal expenses incurred during your stay will be your responsibility.

Do you understand and agree to these travel and expense conditions?
